Admin. Assistant 2 (DD)


Program Name: Developmental Disabilities Administration

Works with the following population: New Horizons Team members and the general public.

Days & Time: This position will work 40 hours a week. Monday through Friday, 8am to 5pm (1-hr lunch break). On-call as needed.

Pay: $37,792.77 per year

JOB RESPONSIBILITIES INCLUDE THE FOLLOWING:

Administrative:

  • Serve as the main point of contact for the copier company, lawn services, flooring care, vending services, landlords, property managers, realtors, and other entities. 
  • Maintain all building supplies. 
  • Maintain keys for DD group homes and offices, in addition to its signature sheets. 
  • Maintain the SmartSheet system and manage access to it. 
  • Schedule meetings on behalf of the DD Division Coordinator 
  • Record minutes for all meetings related to the DD department. 
  • Assist with interviewing candidates for all open DD Admin and DD Residential positions. 
  • Act on behalf of the DD Division Coordinator in his/her absence.
  • Step in as the interim secretary for programs in need.
  • Assist the Compliance department with uploading documents for investigations. 
  • Complete corrective action plans for DCH audits.
  • Update the organizational chart for DD programs.
  • Work with Host Home applicants during the application process.
  • Approve all maintenance requests.  
  • Send all supervisory forms, write-ups, resignation letters, and other documentation to Human Resources.
  • Ensure all timesheets and employee documentation are accurately submitted.

Contracts:

  • Request, manage and maintain various contracts affiliated with the DD department, as requested by the DD Division Coordinator.

Fire Marshall:

  • Schedule and conduct random site inspections as needed (during and after hours)
  • Track all site (group homes, host homes, CLS homes) inspections through a tracking system.

Other Duties:

  • Answering phones and directing calls.
  • May possibly supervise staff.
  • Other duties as assigned.


Minimum Requirements

High school diploma or GED. Must have at least five (5) years of office/clerical experience. Must have at least two (2) years of intellectual/developmental disabilities (I/DD) experience. Proficient in Microsoft Word and Excel. Must possess excellent customer services skills, in addition to excellent organizational skills, excellent time management skills, and excellent communication skills. Must have a personal, insured vehicle and a clean MVR, as occasional travel may be required.

Preferred Qualifications


At least five (5) years of office/clerical experience.
