Executive Administrative Assistant

Program Name: Administration

Works with the following population: New Horizons Team members, community partners, Board of Directors, and the general public.  

Minimum Requirements: High school diploma or GED. Must have at least five (5) years of office/clerical experience. Must be proficient in Microsoft Word and Excel. Must possess excellent customer services skills, in addition to excellent organizational skills, excellent time management skills, and excellent communication skills.

Preferred Qualifications
: At least five (5) years of office/clerical experience

Days & Time: This position will work 40 hours a week. Monday through Friday. Most programs work from 8am to 5pm, with a one-hour lunchbreak.

Pay: $55,605 per year

JOB RESPONSIBILITIES INCLUDE THE FOLLOWING:

Administrative:

  • Managing executive schedules and calendars.
  • Handling correspondence, including emails and letters.
  • Organizing and coordinating meetings, conferences, and travel arrangements.
  • Preparing reports, presentations, and other documents.
  • Maintaining records and files.

Communication and Coordination:

  • Serving as a point of contact for executives and their contacts.
  • Ensuring effective communication within the organization.
  • Liaising with other departments and external stakeholders.

Board Liaison:

  • Scheduling and providing logistical support for meetings of the Board of Directors and its committees.
  • Generating agendas and other materials for meetings of the Board of Directors and its committees.
  • Taking and generating minutes for Board Meetings
  • Maintaining Board distribution lists and update Board Information and Committee Selection sheets.
  • Maintaining communications with the Board of Directors.
  • Assisting in the preparation of meeting invitations, schedule meetings, prepare materials, and record minutes.
  • Providing logistical support for additional meetings at the request of the CEO or senior staff.

Project Management:

  • Assisting with project planning and implementation.
  • Tracking progress and ensuring deadlines are met.
  • Providing administrative support for projects.

Other Duties:

  • Answering phones and directing calls.
  • Greeting visitors and clients
  • Managing office supplies and equipment.
  • May possibly supervise clerical staff.
